Refund, Cancellation & Package Policy

Effective date: May 5, 2026. Apex Wellness Centre provides safe, professional, personalized treatments. Because medical aesthetics and laser treatments require reserved appointment time, clinical preparation, equipment use, staff time, and individualized treatment planning, clients are asked to review this policy before booking or purchasing services.

1. Appointment cancellation and rescheduling

We kindly ask for at least 24 hours' notice if you need to cancel or reschedule your appointment.

Appointments cancelled or rescheduled with less than 24 hours' notice may be subject to a $50 late cancellation fee.

Missed appointments/no-shows may also be subject to a $50 no-show fee.

Any outstanding cancellation, late rescheduling, or no-show fee must be paid before booking another appointment.

Same-day bookings are also subject to this policy.

2. Late arrivals

Please arrive on time for your appointment. If you arrive more than 10 minutes late, we may need to shorten, modify, or reschedule your treatment.

If there is not enough time to safely complete the treatment, the appointment may be treated as a late cancellation and a fee may apply.

This is to ensure every client receives safe, unrushed care and that the next client is not delayed.

3. Completed services are non-refundable

All services that have already been performed are final sale and non-refundable.

This includes laser hair removal, pigmentation treatments, vascular treatments, rosacea treatments, skin rejuvenation, and consultation-based treatments once the service has been performed.

Apex Wellness Centre does not offer refunds based on dissatisfaction with normal treatment response, expected downtime, discomfort, delayed results, incomplete results, or results that vary from client to client.

4. Results are not guaranteed

Medical aesthetic and laser results vary between individuals. Results may depend on skin type, hair colour, hair thickness, hormones, genetics, medications, medical history, sun exposure, aftercare, number of sessions completed, and individual healing response.

Apex Wellness Centre cannot guarantee complete hair removal, complete pigment clearance, complete redness or vascular clearance, a specific number of sessions, a specific percentage of improvement, or identical results to another client.

Treatments are performed with the goal of improvement, not a guaranteed cure or perfect outcome.

5. Prepaid services and packages

Unused regular-price prepaid services or packages may be eligible for a refund within 30 days of purchase only if treatment has not started.

Once any session from a package has been used, the package is considered started and is no longer eligible for a cash refund.

If a client chooses not to continue a started package, Apex may, at its discretion, offer clinic credit for the unused paid value.

If an exception is approved after a package has started, completed sessions will be charged at the regular single-session price, any free or promotional sessions will be removed, and only the remaining unused paid balance may be considered for refund or clinic credit.

6. Promotional purchases and discounted services

Promotional, discounted, event, limited-time, bundled, or special-offer purchases are final sale and non-refundable, unless otherwise required by law.

This includes purchases made using promotional discounts, reception offers, event credits, coupon codes, package discounts, or combined offers.

Unused promotional value may be converted to clinic credit at Apex's discretion.

7. Free sessions and bonus sessions

Any free, bonus, complimentary, or package bonus session has no cash value.

Free or bonus sessions cannot be refunded, transferred for cash, or exchanged for another service unless approved by Apex.

If a package is refunded or converted to credit, free or bonus sessions are removed from the calculation.

8. Clinic credit

Clinic credit may be issued at Apex's discretion.

Clinic credit can be used toward eligible Apex services or products, has no cash value, cannot be refunded to a payment card or bank account, cannot be transferred to another person unless approved by Apex, and cannot be used to pay cancellation or no-show fees unless approved by Apex.

9. Medical suitability and contraindications

Client safety comes first.

If Apex determines before treatment begins that a treatment is not appropriate or safe due to medical history, medication use, skin condition, recent sun exposure, pregnancy status, recent procedures, contraindications, or other safety concerns, Apex may recommend postponing, modifying, or cancelling the treatment.

If a prepaid treatment cannot be safely performed before treatment has started, the client may be eligible for a refund or clinic credit for the unused paid amount.

If treatment has already started and a medical reason prevents continuation, Apex will review the situation individually and may offer clinic credit or a partial refund for the unused paid portion, depending on the circumstances.

10. Treatment reactions and adverse events

Some redness, swelling, sensitivity, temporary darkening, crusting, dryness, irritation, purpura, pigment change, or temporary discomfort can occur after laser and skin treatments.

These expected or possible treatment responses do not automatically qualify for a refund.

If a client experiences an unexpected reaction, Apex asks the client to contact the clinic as soon as possible with clear photos and details. Apex may recommend aftercare instructions, a follow-up appointment, referral to a pharmacist, physician, walk-in clinic, or emergency care depending on the concern.

Refunds are not provided for adverse reactions when appropriate consent was obtained and the treatment was performed according to reasonable professional standards. However, Apex may review serious concerns individually and may offer follow-up support, clinic credit, or another resolution at its discretion.

11. Client responsibility

Clients are responsible for providing accurate and complete information before treatment, including medical history, medications, recent sun exposure or tanning, pregnancy or breastfeeding status if applicable, recent procedures or injections, skin conditions, history of cold sores, scarring, keloids, pigmentation changes, or photosensitivity, and use of retinoids, isotretinoin, exfoliants, antibiotics, or photosensitizing medications.

Clients are also responsible for following all pre-care and aftercare instructions.

Refunds are not provided if treatment cannot be performed or results are affected because a client did not disclose relevant information or did not follow pre-care or aftercare instructions.

12. Transfers

Packages and prepaid services are non-transferable unless approved by Apex Wellness Centre.

If a transfer is approved, it may be subject to an administrative fee and must be used for the same service or treatment area unless otherwise approved.

Promotional purchases, discounted packages, event credits, and bonus sessions are not transferable unless Apex gives written approval.

13. Gift cards

Dollar-value gift cards do not expire and are not subject to dormancy or inactivity fees, in accordance with Nova Scotia gift card rules.

Gift cards are not redeemable for cash except where required by law.

Lost or stolen gift cards may only be replaced if Apex can verify the original purchase and remaining balance.

Promotional gift cards, donated certificates, prize credits, event credits, or complimentary credits may have separate terms and may expire if permitted by law.

14. Products

Unopened, unused, and sealed retail products may be returned or exchanged within 14 days of purchase with proof of purchase.

Opened, used, unsealed, or damaged products are final sale for hygiene and safety reasons.

Defective products may be exchanged or reviewed individually.

Refunds are not provided for products due to personal preference, scent, texture, or change of mind once the product has been opened or used.

15. Refund processing

Approved refunds will be returned to the original payment method whenever possible.

Refunds may take several business days to appear depending on the client's bank, card provider, or payment processor.

HST will be refunded where applicable.

Any payment processing fees, administrative fees, or used service values may be deducted where permitted.

16. Chargebacks and payment disputes

If a client has a concern about a charge, they are asked to contact Apex Wellness Centre first so we can review and resolve the matter.

Filing a chargeback after receiving a service, using a package, or failing to follow the cancellation policy may result in suspension of future booking privileges until the matter is resolved.

17. Right to refuse or discontinue service

Apex Wellness Centre reserves the right to refuse, postpone, or discontinue treatment if it is unsafe, inappropriate, contraindicated, or if the client behaves in a way that is abusive, threatening, discriminatory, disrespectful, or unsafe toward staff or other clients.

In these situations, refund eligibility will depend on the circumstances and whether any unused paid value remains.
